What this is

Most operations have two options when something regulatory lands, and neither one fits. Hire a regulatory person, if you can find one near you and the work justifies a salary. Or open an engagement, which nobody does for a two-paragraph question. So the question gets answered by whoever is nearest to it, and it is a while before anyone finds out whether that was right.

How it works

Everything runs in writing through your own portal. Send the question and whatever it rests on; the answer comes back there and stays as a record you can find again six months later. No calls, no standing meeting, no monthly activity report written to prove you got your money’s worth. Some months you will ask five things and some months nothing.

When it turns out to be bigger than a question

Some of what you send is a project rather than a question — a document built from scratch, a full investigation, a system assessment, a formal response with a deadline attached. We say so before anything starts and tell you what it costs. Nothing gets quietly billed, and nothing gets quietly absorbed either.

What goes backAnswering what does not apply is how you commit to something you never do. We split it three ways: what you already hold and can attach as it is, what applies but needs one line rather than the procedure they asked for, and the eleven questions written for a different kind of operation. Those get “not applicable” with the reason. A blank reads as a gap; a reason reads as a boundary.

What goes backThe formula is the same and very little else is. Water activity, residence time and thermal exposure have all moved, and those are the conditions your process validation and your printed shelf life were established under. Worth doing two things before the next run: ask them to reissue it as a change notification so there is a record of what changed and when, and look at whether your existing validation still covers the new conditions. If it does not, that is a defined piece of work and you would hear what it costs before it started.

What goes backThree of the four are fine. The fourth answers a different question than the one the finding asks — it describes what you will do rather than what let it happen, and that is the part a reviewer sends back. We have marked where the root cause belongs and what evidence they will expect attached to it. Two of the others would be stronger with the record referenced by name rather than described.

Straight answers.

Is there a limit?

There is no counter and no hours are tracked. Ask as things come up. What it does not cover is project work — a document built from scratch, a full investigation, an assessment, a formal response. When a request turns into one of those we say so before starting.

What if we do not use it one month?

Then you do not use it. You are paying to have the relationship there, which is the point of having it before you need it. Nothing rolls over, because you are not buying a bank of hours.

Do we get calls or meetings?

No, and that is deliberate. Working in writing means you get something you can forward, file, or hand to an auditor rather than notes from a call nobody wrote down. It also means we are not on your calendar and you are not waiting on ours.

How fast do you answer?

Most things get a first response within two business days. This is not monitoring and it is not emergency cover. No deadline of yours becomes ours unless we say in writing that we have taken it, and sending something over does not move responsibility for it to us.

What is the setup fee for?

Learning your operation once, so every answer afterwards is fast and right. One guided request covering what you make, where you sell it, which rules and schemes you are held to, who manufactures for you, and an index of the documents you already hold. We take the index, not the documents — when a question turns on your sanitation procedure, we ask for that one. Charged once at signup and never again.

Are you our quality unit now?

No, and paying for this will not make us one. We do not watch your records, your suppliers, your correspondence or the Federal Register on your behalf. We answer what you send us.

We already have a quality person. Is this for us?

Often it is exactly for you. Plenty of capable quality people learned the job on the floor rather than from a scheme, and what they want is somewhere to check a call before making it — not somebody to make it for them.

Is this legal advice?

No. It is regulatory work product. It does not guarantee what an agency, an auditor, a certification body or a customer decides, and where something looks to us like a question for a lawyer, we say so.
